My husband and I have been with Aptora now for 9 months and decided it would be beneficial for us to attend their Aptora University training workshop. We just finished our three-day training and it was one of the best decisions and investments we could have made. The owner James, along with his staff, were 100 % available, attentive, accommodating and informative and provided us with a comfortable, friendly and family like atmosphere. The location couldn’t have been more convenient with the class being held in our hotel conference center and food and drinks were provided to us every day, all day. The training content was well structured but the topics were also driven by all of us who attended… we were able to ask questions, get our issues known and resolved and our suggestions were always taken into account and accommodated. I have not found another company where we as customers, have this much hands-on and face to face interaction with our software company support team, let alone the owner himself. And even more so, we were able to meet and share with other business owners and be exposed to different perspectives and ideas on how to use Aptora. The whole experience was truly priceless and insightful.
I would highly recommend attending the next Aptora University training!

We have been TOM users for 7 years now, migrating multiple companies in multiple different software systems. This week I attended an Aptora University class with three days of in-depth training on a fully functioning database. I was amazed at how much the software can do, and how much more we can utilize it to improve workflow, job costing, reporting, payroll, invoicing, accounts payable and purchasing. James, Arika, and Bryant went above and beyond just training though, we were able to discuss best practices and get feedback from other users on how they use different features.
With the ability to remote into our database we were able to diagnose issues and solve issues with our particular way of working in our different companies. Not only would I recommend this software, but I would also highly recommend attending the Aptora University class to the point that I plan on attending again after I have time to implement some of what I learned.

I’ve been using flat rate plus, T.O.M. (Total Office Manager), and all the human resource document and kits from aptora since I started my company 12 years ago. It has been one of the biggest reasons I’ve been successful. It is worth every penny.
Here at Buffalo Alarm Inc., we’ve been using Total Office Manager since 2011. As the owner of the company, I looked at many different platforms before choosing TOM. I chose TOM because it’s made specifically for contractors. The schedule board is awesome and we use it every day. We’ve been very happy with Total Office Manager.

First of all, I hope all is well and you are well. I want to thank you for recommending the Aptora cloud. It has been a lot better and allows me to work at all hours of the day from anywhere…love it! I do have a few items that I would like improved but, overall it works great.
It seems it’s much easier to tear somebody up with a negative review, then writing a positive response when we have a good experience.
With that being said I wanted to make the time to share the positive experience that I am having with Aptora. I own a small HVAC company who specializes mostly in commercial construction. We have enjoyed much success over the years. Over the past few years, we’ve been talking about opening a residential service business but we didn’t want to do so without having all the proper systems set in place. I have done all kinds of research over the past few years and I’ve contemplated Aptora many times finally this year we purchased both the Operations Manual and Total Office Manager. Over the past 2 short weeks I have poured over all the manuals and I am very impressed. We have a lot of changes to make and we plan to implement most of the things contained in the operations manuals. We realize this is a big project so we plan on implementing it slowly based on our needs.
We ordered our server and can’t wait to implement Total Office Manager within our company.
Today we are on our way home from Aptora University and have been reflecting on our investment in the training. Was it worth it, totally! We are going back energized and excited about implementing what we have learned. If there was one thing I could tell a new user or upset user it’s this, none of us run our business’ the same so why would we want software that only gives us one way to do it. As business owners, we are constantly trying to “think outside of the box” and thankfully TOM does too. This allows us to use it the way it works best for our business. My suggestion is to get familiar with the software and then invest in training. BTW thank you to Arika and Bryant for all of the extra time you spent with so many of us to help us with our individual questions.
LOVE IT! I truly believe this software offers the power of custom built software packages. Flexibility is built in.
The company I work for uses the Aptora software. I’ve been on it for about a year. I don’t know much about the office software because I use the field software. I haven’t known any other type of software like this but I find it very easy to use. I especially like having access to repair history and notes from other technicians. I can check inventory stock on other people’s vehicles. It wasn’t hard to learn.

IMHO, TOM is a powerful tool for those who want a system that will permit them to grow their business. From customer inquiries, through sale, installation AND service after the sale … TOM tracks your business’ performance and gives you the answers you need. Is it a perfect piece of software? No … but it will be once they implement all of my “feature requests.” 🙂 It is a reliable system that will pay great dividends. They also have a GREAT support team that has PATIENTLY fielded … no, I am not kidding, you can ask them … DOZENS of support requests from me as we plowed through our implementation early this year.

Aptora is the 4th software we have purchased and our last software we will ever purchase. We switched to Aptora in spring of 2017 and realized this software would take us to the next Level. Aptora is a well-built software. It is something you grow into and it helps takes you to the next level.

Aptora’s Total Office Manager and Mobile programs have helped us to be more efficient and provide a better service to our customers. There are many programs available on the market today, but none of them offer all of the features that this program has. In addition, the support, the training and the people of Aptora are second to none!
HIGHLY RECOMMEND!! This Flat Rate Plus software helped me turn my electrical business into a PROFITABLE service business. I have used the product for 8 years, and I love how every piece of it fits together to create the perfect system for a service business. The software, as well as books and training videos have allowed my technicians to become the leading service providers in our area. It was built for HVAC, but I use the version created for electricians and my whole team loves it. WELL WORTH THE INVESTMENT!!!
Total Office Manager does what it is supposed to do. It is an “all-in-one” package that seamlessly merges different parts of software so they can work together and make one very useful interface. I highly recommend purchasing from this company.

I just received tech support from Robin in upgrading the SQL from 2008 to 2012 for preparation to the next version of Total Office Manager for one of their customers. She was very knowledgeable, helpful and friendly. Management needs to double her pay and give her more vacation days. O.K., that is probably unreasonable; maybe at least a free dinner at a local restaurant? C’mon guys! She deserves it! 🙂
Hello Erica, we really appreciate your fast response to getting mobile back up and running this morning. We called on the after-hours hotline and you responded quickly and explained the corrective actions you intended to make. When Mobile is down our whole service department is down and can be very crippling to our Company. I understand that technology will not always work as planned and things happen, its how we respond to those problems that make the difference, and Erica and her team made the difference this morning for sure.
This is just a note to let you know that this current update is great! It is much more logical & intuitive.
In the past, I would “pawn” off the mobile training to one of the other managers, but since this new update, it seems to be so much simpler to understand that I have finally taken this back…it feels much more like TOM junior, as opposed to a distant cousin. LOL

I wanted to make sure to let you know what an excellent job Mr. Cenac did for us while he was demonstrating Total Office Manager.
I can assure you, that after a number of software interviews and demonstrations, we were not an easy bunch to deal with. Considering that we had project managers, owners and office personnel involved, we were all over the place in our questions and interests concerning the software.
I think what I appreciated the most was the ease in which Timothy would move around and answer our questions. He never said “wait let me tell you about something else first” before moving forward to the next question.
One of the biggest mistakes I’ve experienced in the demonstration process was having to deal with what I call the “salesman selling his product mode” and not being afforded the freedom to ask questions out of order.
Timothy listened to us, answered our questions and did not get the least bit perturbed by our “drilling him with questions”. He even had a good sense of humor which was sorely needed by that point.
All in all he was a big factor in us deciding to purchase and use your software. Please let him know how much we appreciated him!
Thank you so much for offering the training class (Aptora University) this week. I enjoyed the class and all who participated. The presentation, Q&A and interactions were extremely insightful. I appreciated being able to interact with the staff and others who use the software as well. The training course has really helped me to take what I know to a new level in using the software. I highly recommend others who are using it to participate whenever they have the opportunity. We, at Air Conditioning & Heating, Inc., have been using TOM for 5 years and Aptora Mobile for over a year. We are extremely pleased with what it has to offer and the ability to grow with us. The support has also been amazing. Anytime I have questions, they are quickly answered. I don’t just feel like a client, I feel like a friend.
Thank you for your help with this!!! I am still working on redoing our database and use it the way it is designed to be used. It is a bit overwhelming. You have made dealing with the financial side so much easier. I have to also say that as I have been going through this long process, I absolutely love all of the new features and capabilities of TOM/Aptora. I know that once I am completed with correcting our set up (since we originally set up our database in 2007), I will be showing off how awesome desktop (especially hosted) and mobile is for our industry!! We have used Aptora for 13 years. Both Total Office Manager and Aptora Mobil. It has been a great software choice for us. The software has been growing right along with our company needs. We didn’t get a change to use the new schedule board, but it looked amazing. All the staff have been extremely helpful through the years. We recently sold our business, Duron Smith A/C & Heat, Inc. in Cocoa, Florida and the staff at Aptora was great helping us through the transition. Jonathan was extremely helpful in this entire purchasing process. He has been patient and worked with me for a very long time. He answers your questions and works with you to get results. He doesn’t tell you what you want to hear, he tells you like it is! I have reviewed a lot software and its not easy to switch when you have a database of 20,000 plus customer to deal with. They have been around a long time and only seem to improve what they do daily. TOM is my choice and Jonathon is the go-to guy. Thanks.

We love the Total Office Manager and Aptora Mobile Software. We also have the Flat Rate Plus Price Book! All of these programs work seamlessly with each other and have really helped us organize scheduling, dispatching, invoicing, job costing, accounting, financial analysis, employees, customers, vendors and so much more! We have been using it for a while now and we are very happy with the way the future looks for this program and our association with it! The support and training are top notch. Whenever I have a question the support team gets back to me right away and all of my issues get resolved before I can even notice a setback. We have been using Aptora’s Flat Rate Plus since 2002 and Total Office Manager since 2007. Very pleased with the software (everything we need all in one program). Great tech support along with continuous upgrades and improvements. We moved to TOM in March of this year. We came from using 4 separate sources for our accounting, inventory, dispatching, and flat rate pricing and none of them integrated (at least not in a useful way). When we first implemented the software it was almost overwhelming because we were trying to do so much. Since it is a fully integrated program, little mistakes affected a lot. We spent many hours correcting our mistakes. We have since become much more familiar with the software and use it more efficiently
Arika was extremely helpful and knowledgeable. We have worked with a number of instructors over the past year with many unresolved issues. Arika was able to help not only with every question/problem we had, but also closed many open items other instructors previously shoved under the table, promising resolution time and time again. THANK YOU SO MUCH. 10/10 would request again.
Throughout the 3 days with James, I found several hidden nuggets that I would not have otherwise sought out to find. One being the freeze pane within the list. Who knew! Looking forward to putting some of my new skills to work.

Extremely gracious and very professional is the everyone that you will deal with at Aptora. As a business owner, I always look for those that are doing exceptional work because it is very important to me. I want to work with people and or companies that exhibit the same. This product, is like a snipers rifle, the more you use it the better you shoot-if you are only making random long shots, you may be disappointed-however, in a well-trained hand the sniper rifle can do a wonderful job-as is the software made by Aptora-use it, learn it and lean on the Aptora team-we have for nearly 7 years! Yes, some struggles and mainly self-imposed struggles. You will be treated very well.
If you have had TOM for a while, or you just got it, go to the training ASAP! As a small business, it can be hard to send management away for three days, but this class is so worth it. Our only regret is not going sooner.
My company is going live with TOM in a couple of weeks. James was in our office the past two days walking us through the software. He did an incredible job of explaining the product and showing us the benefits of how we can use the software to help our business grow. TOM goes so in depth and is so detailed that it makes me upset we are just now getting on board. If you are in the business of selling a service to your customers and are not partnering with Aptora, your competition is going to run off and leave you.
I have been using TOM in our plumbing business for over 3 years now – I am extremely pleased with the software capabilities, but as important, the support you get from them is FANTASTIC! Whenever I call I get a prompt response and they go the extra mile to help me with my problem or to assist in figuring out how to do something in the system. As a (very) small business owner with no IT help (but me) I truly appreciate the level of service and concern for me and my business that Aptora gives. It is an incredible tool which is growing WITH my business. Our sales have increased by approximately $350k and plans for 2016 have us growing another $500K – even with the growth I believe this software will grow with us! I have interviewed and talked to many vertical market software people, and I tell everybody, that when I met you in 2018 at the EGIA Conference, I said to myself after 3 minutes of talking to you, “this guy gets it” “this guy understands me”. Others were just salespeople selling smoke and mirrors and had no idea of what they were selling, or how it could improve my business.
I’m so glad I met you and so glad that I purchased your software, and so glad Service Titan turned me down because I had less than a Million in revenue! Can you believe they called last year and said they would accept me?
I know several companies that use Aptora and are very satisfied. I am told the program is easy to use and provides intelligent reports that are helpful in managing EVERY aspect of their business. There is no comparison to several other service-ONLY programs, that DO NOT offer accounting, payroll, inventory, etc. Aptora is a full business management platform. I also hear that Aptora’s customer service is second to none. I also know James Leichter to be very responsive to new ideas and quick to implement those that make sense for all users. I HIGHLY RECOMMEND Aptora!
Aptora is really a lifesaver, this software is so useful and so customizable that every contractor can use it. The staff and support techs are fantastic. If you see any negative reviews for this company it is because the people who posted them never took the time to learn how to use the software properly!!!
The software requires you to put in some time to build and set up everything, but Like most things in life you get back what you put into it. If you put the time into the software you will get back amazing results in return.
Example: We opened a new Location and started a residential new construction division after we switched to Aptora we started to track our Inventory using their group’s feature. We included a labor cost in the group to track profit on material and direct Labor. We could not believe the results we received, We didn’t realize we gave out more material than the jobs actually required and we cut our material costs by 30% and we now are able to track all materials down to the wire nut.
If you are looking for an all in one software this is it. It has improved the following areas of our business within the first year: Inventory control, electronic field tech time cards are electronic and tracks per job automatically, internal payroll, internal marketing feature, company profitability per department, and automatic job costing.
Worth the Investment. Make this your last software change as we did.
